Medical Clerk

JOB SUMMARY:

DUTIES/RESPONSIBILITIES:

  • Provide Medical Clerical Services to the SRU Clinical Departments to support the Processing of clinic and patient administrative actions
  • Assists in scheduling patient clinic appointments, retrieves patient medical records and assembles required forms for provider usage in documenting treatment rendered
  • Obtains, completes, and assembles designated forms and/or medical record, as required by established procedure, for each patient visit for documentation by healthcare provided of services rendered to patient
  • Performs end of day closure of CHCS regarding daily scheduled appointments verifying their disposition and closure
  • Files forms and medical records following patient appointments
  • Creates and maintains appointment template in the CHCS per prescribed guidance for assigned clinic providers
  • Compiles routine reports from various systems and conducts data analysis on appointing and referral results to be used by management to improve efficiency and effectiveness of mission performance
  • Establishing and maintaining automated files and spreadsheets in support of the Case Management Program, Social Work Department and or other clinical departments
  • Downloading daily information on incoming aeromedical evacuation flights as well as commercial flights and maintaining rosters of all incoming patients and delivering report to designated unit leadership
  • Coordinating with staff members for processing patient records that are related to their treatment and care, i.e., non-medical support assistant’s orders, special compensation for assistance in daily living (SCAADL) documents, orders, attachments, and assignments, return to duty, separation, etc., and assisting with coordinating communication between the unit, and other organizations
  • Preparing a variety of complex, narrative reports to include office correspondence, technical papers, charts and statistics for proper grammar, spelling, capitalization, punctuation, and appropriate format
  • Providing patient disposition information, i.e., return to duty, separated, or retirement with required documentation to higher level commands, accepting units and facilities, and providing updates to theater-based units
  • Serve as the SRU Medical Clerk for outpatient clinical services within SAMMC responsible for monitoring Access to Care (ATC) for Warriors in Transition and their Family members
  • Monitors appointment availability and appointment template management by working with the designated Representative
  • Generate and provide to designated leaders booking reports related to case management, clinical care and no-show information
  • Identify deficiencies in appointment availability and schedule compliance
  • Coordinate with clinic points of contact (POCs) to ensure that deficiencies are corrected when possible
  • Identify issues that prevent the maximum use of available resources
  • Conduct training to ensure that personnel at the clinic level have a thorough understanding of the SRU Enhanced Access to Care requirements, appointment standardization, and patient access
  • Utilize existing systems/reports in order to execute required tasks
  • Responsible for gathering data from a variety of information systems to include CHCS, AHLTA, M2 and web-based data repositories as necessary
  • Interpret, compile and analyze data as a means of gathering/presenting meaningful information regarding Access to Care within SAMMC clinics
  • Be proficient in the use of Microsoft Access, Excel and Power Point
  • Monitor reports to ensure optimum utilization of cancelled and unbooked appointments
  • Be trained on site by staff within the SRU, to include receiving training from SRU personnel within other departments as appropriate
  • Perform services for all designated patients as part of SAMMC's mission for Soldiers undergoing medical treatment and evaluations for possible medical separation, retirement or return to active duty
  • Serve as the primary booking agents for all consulted care for SRU Soldiers and will proactively seek consults in AHLTA/CHCS
  • Responsible for generating daily reports for leadership
  • Communicate appointment availability to designated leadership and ensure that follow-up communication is provided telephonically and via e-mail
  • Update the MSA or designated leader immediately if any obstacles to meeting the Enhanced Access to Care (EATC) have occurred
  • Identify deficiencies in appointment availability and make management aware to address or correct these deficiencies
  • Be available to greet visitors, check-in patients for clinic appointments, and deliver/collect any

REQUIRED SKILLS/ABILITIES:

  • Being a qualified typist (40 wpm)
  • Operating a variety of computer software packages (Microsoft Office, Word, Excel, and PowerPoint) to include military specific computer programs CHCS, AHLTA, MCSC MHS ACCESS TO TIPS ONLINE, WEB- AEFSS, DMHRSI, DTS, and ESSENTRIS)
  • Operating basic office equipment i.e. photocopier, facsimile machine, scanner, multi-line phone, voice systems and pager systems, mailing machines
  • Possess knowledge of basic medical terminology
  • Immunization Requirements: Medical Clerks must comply with the BAMC Policy Memorandum on immunization and health requirements for hospital employees at the time of initial employment and thereafter as required based on the Center for Disease Control and Prevention (CDC) and/or Department of Defense (DOD) guidance
